This policy explains how MSS Network collects and uses personal information about members, event attendees, speakers, sponsors and other business contacts.

What we collect
Information you give us:
- Name, email address, job title, company, location and phone number, when you register for an event, become a member, contact us or speak at an event.
- Payment details, when you buy a membership or ticket. Card payments are handled by Stripe, and we never see or store your full card number.
- The content of your emails and messages to us.
Information we collect when you take part:
- Attendance at our live and virtual events, including joining and leaving times on our virtual event platforms.
- Session recordings, where you speak or appear on camera or in chat. We tell you before a session is recorded.
Information from other sources:
- Professional details that are publicly available, such as your job title and employer on LinkedIn or your company's website. We use these to keep our records accurate and relevant.
- Details passed to us when a colleague registers you or a sponsor introduces you.
We don't intentionally collect sensitive information (such as health, religion or political views) and ask you not to send it to us.

You can opt out of marketing emails at any time using the link in our emails or by contacting us.
Who we share it with
We don't sell your personal information. We share it only with:
- Service providers who help us run our business, such as Stripe (payments), Squarespace (website), Google Workspace (email), Airtable (contact database), and our virtual event and registration platforms. They may only use your data to provide their service to us.
- Event sponsors, only where you have agreed to this when registering for an event.
- Professional advisers, such as our accountants and lawyers.
- Authorities, where the law requires it.
International transfers
Some of our service providers are based in, or store data in, the United States and other countries outside the UK. Where we transfer personal information outside the UK, we rely on UK adequacy regulations (including the UK–US Data Bridge where the provider is certified) or the ICO's approved International Data Transfer Agreement or Addendum.
How long we keep it
- Membership and payment records: for the length of your membership, then 6 years for tax and accounting purposes.
- Event attendance and business contact records: while they remain relevant to our events. We review our database regularly and remove contacts we no longer need.
- Marketing preferences: if you opt out, we keep a minimal record so we don't contact you again.
Your rights
You have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct it;
- ask us to delete it;
- object to us using it, including for marketing;
- ask us to limit how we use it;
- ask us to transfer it to another organisation;
- withdraw your consent at any time, where we rely on consent.

If you're unhappy with how we've handled your information, please contact us first. You also have the right to complain to the Information Commissioner's Office: ico.org.uk, 0303 123 1113.
